Same-day, but not a 3 a.m. crisis
Most of our same-day calls aren't emergencies — they're planned urgency. You noticed at breakfast the house wasn't quite right. By lunch the thermostat is reading 78°F and climbing. The AC is technically running but it's not cooling, or one zone is dead, or the air handler keeps short-cycling. Nothing is on fire. Nobody is at risk. You just need a real technician at your house today, not Tuesday, and you want a flat upfront price instead of an "it depends" estimate.
That's the call this dispatch system was built for. Emergency dispatch is its own track — for breakers tripping, water leaks, vulnerable family in heat — and you can read about emergency service here. The same-day track is for the much more common scenario: the system needs a real diagnosis today, and waiting four days for the next "available window" from a national chain isn't realistic in Palm Beach County in summer.
How the same-day dispatch system actually works, step by step
Here's exactly what happens from your first phone call to cold air.
Step 1: Call or text 561-340-9057
You get a real human dispatcher — no phone tree, no "press 1 for service." Tell them what's happening: outdoor unit running or not, thermostat reading, when it started, any recent weather. The dispatcher pulls up today's open windows while you're talking.
Step 2: Confirm a window before you hang up
The dispatcher gives you a real, narrow window — usually 2-to-3 hours wide. Not "sometime this afternoon," not "between now and Friday." A real window. You either take it or we look at what's next available.
Step 3: Lock the slot with the flat $200 dispatch fee
The $200 dispatch fee covers the technician's drive, on-site time, and complete diagnosis. It's what makes confirmed windows possible — when slots get locked with a real fee, dispatchers can promise the window because they aren't double-booking "maybe" customers. That same $200 is credited toward the repair when you approve the work. So a $400 capacitor replacement becomes $200 more after the dispatch fee.
Step 4: The local technician arrives in the window
A licensed, insured technician — local to Palm Beach County, not driving down from Broward or up from Miami — arrives in the confirmed window with the truck stocked. The vast majority of common failures (capacitors, contactors, fan motors, thermostats, condensate clears) are resolved on the same visit without anyone needing to come back.
Step 5: Flat, upfront repair quote — you approve before any work
The tech diagnoses the system, then quotes the repair flat and upfront. No "let me see how it goes" hourly pricing. No surprise charges. You approve the price first, then the work happens, and the dispatch fee comes off as a credit. See typical repair ranges here.
Why same-day is even possible
Three things make it work, and they have to all be true at once.
Held-open dispatch slots. Every single day, we reserve open windows specifically for same-day calls. They aren't filled with scheduled tune-ups or maintenance visits. They're empty until a same-day call comes in. That's why you can call at 11 a.m. and get a 2 p.m. window — the slot wasn't being held for anyone else.
Local technicians. The technicians in our network live and work in Palm Beach County. We aren't dispatching from Broward, Martin, or Miami-Dade. Short drives mean tight windows are achievable. A tech on a same-day call to Boynton Beach isn't bidding three hours of windshield time just to get to the house.
The flat $200 dispatch fee locks the slot. This is the unsexy operational reason same-day works. When the slot is locked with a real fee — credited back to you when the repair gets approved — dispatchers can confirm the window honestly. Companies that promise "same-day" with no booking fee end up double-booking and breaking promises by 4 p.m. We don't.
The "or it's free" guarantee, in detail
Here's exactly what the guarantee means and exactly when it applies.
What it covers
If you call during dispatch hours and we promise you a same-day window — meaning we book you and take the $200 dispatch fee with a confirmed window for today — then we fail to dispatch a licensed technician to your home that same calendar day, your $200 is refunded in full. The service call is free. No paperwork, no fight, no "well technically." If we said today and a tech didn't show up today, you don't pay.
When it applies
- You called during dispatch hours and we explicitly confirmed a same-day window.
- Your address is inside Palm Beach County.
- You're available at the address during the confirmed window.
What doesn't qualify
- Calls we explicitly booked as next-day or later. If you called Thursday night and we agreed on Friday morning, that's not a same-day promise.
- Addresses outside Palm Beach County. We dispatch only inside PBC.
- Access issues on the property. Locked gates with no code, dogs not contained, no one home to let the tech in, can't access the unit. The tech showed up — the visit can't complete.
- You canceled or rescheduled. If you cancel after we've dispatched, the dispatch fee still applies.
- Acts of God during the window. Tropical-storm-force weather, evacuation orders, or active flooding may delay the visit. These are rare and we'll work with you to reschedule and apply your fee.
The whole point of the guarantee is to make sure we never make a promise we can't keep. If we tell you today, it means today.
"Same-day isn't a marketing tagline for us. It's the operational model — held-open slots, local techs, real booking fees that lock the calendar. If a customer is paying for a same-day window, they're getting one. Or they're not paying."
What to call us about as a same-day repair
- House not cooling but the system is running. Could be low refrigerant, a failing capacitor, frozen coil, or restricted airflow. Same-day diagnose and most-cases resolve.
- Thermostat acting up. Won't hold setpoint, blank screen, calling for cool but the air handler isn't responding.
- Weird noises from the outdoor unit. Buzzing, humming, clicking, screaming. Usually fan motor, capacitor, or contactor.
- One zone working, others not. Damper actuator, control board, or zoning panel issue.
- Water under the air handler. Almost always a clogged condensate line — fast same-day clear.
- System cycles on and off too quickly. Short-cycling has a handful of causes, all diagnosable same-day.
